At Kalopa Robotics (“We”, “Us”), we build autonomous boats, not tracking engines. This policy explains how we handle your data.

1. OUR PROMISE: NO TRACKING

We do not use third-party analytics (like Google Analytics), advertising pixels, or social media trackers. When you visit our site, you are not being watched by ad networks.

2. DATA WE COLLECT

We collect only the data required to operate our fleet and ensure the safety of your mission.

A. Account Data When you register for Mission Control, we collect:

  • Name: To identify you in our system.
  • Email Address: For mission alerts, booking confirmations, and password resets.
  • Password: Stored in an encrypted (hashed) format. We cannot see your actual password.

B. Mission & Operational Data When you book a vessel, we process:

  • Billing Details: Company name, address, and tax ID (processed via our accounting tools).
  • Emergency Contact Information: Mobile numbers for the Mission Commander or technical lead.
  • Payload Specifications: Technical details of the equipment you load into the Moon Pool.

3. HOW WE USE YOUR DATA

Under the EU GDPR, we process your data under the following Lawful Bases:

  1. Contractual Necessity: We need your name and email to let you log in, book a boat, and receive mission updates. Without this data, we cannot provide the service.
  2. Legal Obligation: We must retain billing and transaction records for tax and accounting purposes.
  3. Vital Interests: In a maritime emergency (e.g., a lost boat), we may need to use your contact details to coordinate recovery or safety operations.

4. COOKIES

We use a single type of cookie: Strictly Necessary Session Cookies.

  • Technology: These are standard Ruby on Rails session cookies.
  • Purpose: They allow the website to remember that you are logged in as you move from page to page.
  • Duration: These cookies are temporary and expire when you close your browser or log out.
  • Consent: Because these are strictly necessary for the website to function, they are exempt from the requirement for a “Consent Banner” under the ePrivacy Directive, though we inform you of them here for transparency.

5. DATA SHARING & THIRD PARTIES

We do not sell your data. We only share data with specific service providers required to run the business:

  • Accounting: Invoice and customer details are stored in our offline accounting system for financial compliance.
  • Communications: Your email may be processed by our email delivery providers (e.g., AWS SES/SendGrid) solely to send you system notifications.
  • Satellite Telemetry: Operational data (but not your personal data) is transmitted via Iridium/Satellite networks.

6. DATA RETENTION

  • Mission Data: We retain operational logs indefinitely to track the hull’s fatigue life and fleet reliability.
  • Financial Data: We retain invoice records for 7 years as required by Revenue/Tax authorities.
  • Account Data: You may delete your account at any time, which will remove your login credentials from our active database.

7. YOUR RIGHTS (GDPR)

You have the right to:

  • Access: Ask for a copy of the data we hold about you.
  • Rectification: Correct wrong information (e.g., change your email).
  • Erasure: Ask us to delete your account (subject to our legal need to keep tax records).
  • Portability: Get your data in a readable format.
